Privacy Policy
Last updated: September 22, 2026
This Privacy Policy explains what personal data Cognibyte Software Services Private Limited ("Cognibyte", "we", "us") collects through this website, why we collect it, who else sees it, and what you can ask us to do about it. We collect very little, and this page describes all of it.
Who we are
Cognibyte Software Services Private Limited is the data fiduciary responsible for the personal data described here. We are registered in India at Nirmal House, Plot B-100, Shivaji Chowk, Sector 12, Kharghar, Tal. Panvel, Dist. Raigad, Maharashtra, India - 410210.
For any question about this policy or your personal data, write to info@cognibyte.in. This is also the address for raising a grievance under India's Digital Personal Data Protection Act, 2023; we aim to respond within 30 days.
What we collect
Information you send us through the contact form: your name, email address, the category of your enquiry, your message, and — only if you choose to fill it in — your phone number. The form will not submit unless you tick the box agreeing to be contacted about your enquiry.
Technical information that reaches our servers with every request, as it does with any website: your IP address, the page you asked for, and your browser's user-agent string. We use your IP address to count recent submissions from the same source so the contact form cannot be flooded. That counter lives in the server's memory for a few minutes and is never written to disk or attached to your message.
Measurement data, but only if you accept analytics cookies: which pages you visit, how far you scroll, which links you click, and a recording of your session as heatmap and replay data. If you decline, or simply ignore the banner, none of it is collected.
Error reports, if something on the site breaks: the error, the page it happened on, and your browser type. These help us fix faults. We do not record what you type into the contact form for this purpose.
We do not operate user accounts, we do not sell anything through this website, and we do not ask for or process payment details here.
Why we use it, and on what basis
To answer you. When you submit the contact form we use your details for the sole purpose of replying to your enquiry and, if it leads somewhere, discussing the work. We do not add you to a mailing list.
To keep the site working and safe. Rate limiting and the anti-spam check protect the contact form from automated abuse. This is a legitimate and necessary use, and it cannot be switched off without leaving the form open to floods.
To improve the site — with your consent, and only that. Analytics and session-replay data tell us which pages are read and where people give up. You choose whether to allow this, and you can change your mind at any time.
Who else sees your data
We do not sell your personal data, and we do not share it for anyone else's marketing. We do rely on a small number of service providers, each of which processes data on our behalf:
Vercel Inc. hosts the website and therefore handles every request to it. Google LLC provides Google Analytics 4 and Microsoft Corporation provides Clarity — both only after you accept analytics cookies. Cloudflare, Inc. provides the Turnstile check that verifies the contact form is being used by a person. Functional Software, Inc. (Sentry) receives error reports. Your contact-form message is delivered to our own inbox by email, which passes through our email provider.
The contact page can also show a Google map of our office. It does not load until you press “Load map”, and nothing is sent to Google before you do. Once you press it, Google receives your IP address and browser details as it would for any visit to Google Maps, and may set its own cookies. The address is on the page as text either way, so you never need to load the map to find us.
These providers operate outside India, including in the United States and the European Union, so your data may be transferred and stored there under the protections each provider offers.
How long we keep it
Your contact-form message arrives as an email and stays in our inbox for as long as we may need it for the enquiry and our own records. There is no database behind this website, so it is not stored anywhere else by us.
Analytics and session-replay data are retained by Google and Microsoft under their own retention settings, and error reports are retained by Sentry under theirs. The rate-limiting counter described above expires within minutes.
If you want your enquiry and the email containing it deleted, ask us and we will delete it.
Your rights and your choices
You can ask us what personal data of yours we hold, ask us to correct it if it is wrong, ask us to delete it, and withdraw a consent you have given. To do any of these, write to the address above. We will not charge you for it.
You can change or withdraw your analytics consent at any time using the "Cookie preferences" link in the footer of every page. Withdrawing it stops further collection immediately; it does not retrieve data already collected, which you can ask us about separately.
Your browser also lets you block or delete cookies and site storage directly. The site works normally with analytics declined.
How we protect it
The site is served only over an encrypted connection. Submissions are validated on both the browser and the server, the contact form is rate-limited and protected by an anti-spam check, and a content security policy restricts what may run on the page.
No website can promise perfect security, and we will not pretend otherwise. What we can say is that we collect little enough that there is not much to lose.
Children
This website is aimed at businesses and is not directed at children. We do not knowingly collect personal data from a child. If you believe a child has sent us their details, tell us and we will delete them.
Changes to this policy
If what we collect or how we use it changes, we will update this page and the date at the top of it. Material changes will be described here rather than made quietly.
